Calendar & daily workflow

Your visual command centre, where everything comes together and your day actually runs.

Once Barclo is set up, most days start on the Calendar. It's the place where bookings, walk slots, staff assignments, and closures all become visible at once, a single screen that answers "what am I doing today?" in about three seconds.

To open the Calendar: click Calendar in the left-hand menu.

Three views, day, week, and month

  • Day view, the most useful view for running the day. Each team member gets their own column. Bookings show the service, pet, client and time, so you can see at a glance who's doing what and when. Solo? You get a single column, your own day laid out in time order.
  • Week view, a Monday-to-Sunday grid showing each booking as a block. Good for spotting patterns and gaps across the week, useful when a client asks if you have space on Thursday.
  • Month view, the big picture. Each day shows your walk slots with live capacity counts (e.g. "Early Birds · 2/6"). Today is highlighted, and bank holidays are reflected. Ideal for planning ahead.

Walk-slot capacity on the calendar

Walk slots appear on every day they run, with their capacity count updating in real time as bookings are added. "Early Birds · 2/6" means 2 dogs booked, 4 spaces still free. Individual bookings appear alongside the slot tags, and closures (like bank holidays) are flagged directly on the date.

The day view and staff columns

Switch to Day view and Barclo shows today's timeline in detail. If you have team members, each gets their own column. Tess is walking her route from 09:00 to 11:00; you're doing a grooming at 11:00; Manny is handling a training session at 14:00, all visible side by side. Each block shows the service, the pet, the client and the time.

If you're a solo operator, you get one column, just your own day laid out in time order. Clean, simple, and exactly what you need to get out the door.

Creating a booking from the calendar

You don't have to go to the Bookings page to create a new booking. On the Calendar, click New Booking (top right). This opens the same booking wizard, with the calendar updating as soon as you confirm.

Your daily routine

  1. Morning. Check the dashboard and the Day view. Approve any pending booking requests so clients know they're confirmed.
  2. During the day. Staff work their own column on the Day view. Tap the client's phone number to call straight from the booking if you need to.
  3. As jobs finish. Open the booking and tap Mark as Completed. If invoice automation is on, the invoice is raised for you.
  4. End of day or week. Open Invoices, raise anything still outstanding, and send them. Chase any overdue payments.

A worked morning, scenario

Happy Paws Dog Care, Monday morning:

  1. Open Barclo. Calendar → Day view.
  2. Check today's walk slot. "Early Birds · 4/6 · Max, Kira, Treacle, Mango." All four confirmed, two spaces spare.
  3. Check the afternoon. Solo grooming at 13:00 for Bruno (James Patel). The pet profile notes Bruno is sensitive around his paws.
  4. Approve a pending request. A new client has requested Thursday. Dashboard → Pending requests → Approve.
  5. Head out for the morning walk. Return at 11:00 and mark the four walk bookings as Completed. Four invoices generate automatically and email to the owners.
  6. Groom Bruno at 13:00. Mark as Completed. Invoice generated.
  7. End of day. Open Invoices and chase anything outstanding from last week. Send a reminder for one that's been sitting for 10 days.

That's a full working day managed in Barclo, with very little admin friction.

Set the Calendar as your browser home tab. Once Barclo is part of your routine, having the Calendar open automatically each morning is the fastest way to start your day in the right headspace.
