Daily logs

Keep the daily records your licence asks for: a welfare note for each dog, the day's exceptions, and your opening and closing checks, filled in by your team as the day goes.

Daily logs are records your team fills in, not forms clients sign. A log is either once a day (an opening and closing check, say) or for each dog, every day (a welfare note per dog). They are private to your business: clients never see them, and a log never stops anyone booking.

Adding a log

Daily logs are set up in Settings › Forms, alongside the forms clients sign. Owners and managers can add them.

  1. Add a form

In Settings › Forms choose Add a form. Templates marked Daily log are filled in by your team.

  2. Pick a template, or start blank

Choose a template below, or Blank form with Team log, once a day or Team log, each dog daily. This choice is fixed once the log is added.

  3. Make it yours

Change the name, the wording and the questions (Add a question: yes or no, pick one or pick any, numbers, dates, times, short or long answers, a dog, initials, and tables of rows). Under Which services, pick the services whose dogs the log should list each day.

  4. Publish

Choose Save changes, then Publish. Your team can fill it in from Daily logs straight away.

TemplateHow oftenWhat it records

Daily welfare exceptionsOnce a dayAnything out of the ordinary for any dog: time, dog, observation or action, and initials. Tick Nothing to record today on a clean day.
Daily opening, environmental and closing checkOnce a dayThe opening check with the indoor temperature, environmental checks through the day, cleanliness and faeces monitoring, and the closing check.
Tip

Changed a published log? Choose Publish a new version. Entries already started keep the questions they were started with; new entries use the new version.

Filling in the day's logs

Once a log is published, Today shows a Daily logs card with how much is done ("2 of 5 done"). Choose Open to go to the day. Everyone on your team can fill logs in.

  • A once-a-day log is one row: Not started, Started, or Done by Sam at 17:40.
  • A per-dog log lists the dogs booked on its services that day, and any already logged. A dog who is here without a booking can be added with Add a dog.
  • Open a row to fill it in. Save progress keeps what you have so far, so the morning check and the evening check can be done by different people. Complete needs every required answer and Your name, which is what the record shows.

If someone else saved the same entry after you opened it, Barclo shows you their version rather than writing over it.

When a log can be changed

A log can be filled in or changed on its day and the two days after. After that the day is closed and the log is read only, so the record stays as it was written. A day that has not happened yet cannot be opened. Use the arrows beside the date to move between days.

Changing a log that was already completed keeps the earlier answers, with who wrote them and when, on the same record.

Keeping and retiring logs

  • Retire a log in Settings › Forms when you stop using it. It leaves Daily logs; entries already made are kept and can still be read on their days.
  • If a client asks for their data to be erased, the logs about their dogs are kept, with the dog's name, because they record the dog's day.
  • Anyone who manages clients can open the Licence register from the top of Daily logs.

Daily logs on the phone

Daily logs work in any phone's web browser now. In the Barclo app they arrive with the next app update, under More › Daily logs.

Questions

Can clients see daily logs?

No. Daily logs are only for you and your team. They never appear in the client portal, in emails to clients or in signing links.

Why is a dog missing from today's list?

The list shows dogs booked on the log's services that day. Check Which services on the log, or use Add a dog for a dog who is here without a booking.
