Packages
Sell a client a set of sessions paid for up front, like 10 walks for £140. Barclo counts them off as they are booked.
A package is a number of sessions of one service, paid for once. For example, Bella's owner buys 10 × Solo walk for £140, valid for 12 weeks. Barclo raises one invoice for £140. Every Solo walk booked for that client after that is covered: it costs £0 and counts as one of the ten.
Selling a package
Open the client
Go to Clients and open the client. Find the Packages card and press Sell a package.

Choose the one service the package covers.
Sessions
How many sessions, from 1 to 500.
Price
The total the client pays for the package. £0 is fine for a free package.

Optional: Never, or After a number of weeks (1 to 260), counted from today.
Sell package
Barclo makes the package, named like "10 × Solo walk", and a draft invoice for the price. Nothing is sent until you send it. Press Open the invoice to check it and send it, or find it later in Money.
Owners, managers and office staff can sell and cancel packages.
How a package covers bookings
- Each new booking of that service for that client is covered while sessions are left and the package has not expired. It doesn't matter who makes the booking: you, your team, the client online, or a regular booking.
- A covered booking costs £0 for the service. Paid extras are still charged.
- One booking is one session, however many pets come. A two-dog walk uses one session.
- A request waiting for your approval holds its session. If you decline it, or the booking is cancelled, the session goes back to the package. A no-show still uses its session.
- If a client has more than one package for the same service, the oldest one is used first.
- A covered booking is never invoiced again, including when you make invoices in a batch. The package was billed once, when you sold it.
When you make a booking, the service shows "Package · 7 left" and the check step shows "From package · 4 of 10 used". On the booking itself the payment card reads From package, "Paid for when the package was bought."
A package covers bookings from the moment you sell it, whether or not its invoice has been paid yet. Keep an eye on the invoice in Invoices.
Keeping track
The Packages card lists each package with how many are used, the price and the expiry, for example "3 of 10 used · £140.00 · Valid until 12 Jan 2027", and a state: Active, Used up, Expired or Cancelled. Tap one for the details and View invoice.
| When | What happens |
|---|---|
| The last session is booked | The client gets one email saying they have booked the last of their package. New bookings are priced as normal. |
| The expiry date passes | It covers nothing new. Bookings it already covers stay covered. |
| You cancel it | It stops covering new bookings. Bookings it already covers stay covered. |
Cancelling a package
Open the package on the client's page and press Cancel package. Its invoice is not changed: if you are giving money back, refund it through the invoice.
What clients see
In their client portal, clients see their packages on the home screen with what is left, such as "7 of 10 left, until 12 Jan 2027". When they book that service online, the check step tells them it comes from their package and how many will be left after it.
Clients can't buy a package online yet. You sell it from their page and they pay the invoice in the usual way.
Questions
Can one package cover two services?
No. A package covers one service. Sell a second package for another service.
Does a cancelled booking use up a session?
No. Cancelling or declining a covered booking gives the session back straight away.
Can I refund part of a package?
Barclo doesn't work out a part refund for you. Cancel the package and refund what you choose through its invoice.
