Today and visit reports

Today is the first thing you see when you sign in, and Today is first in the menu. It says what is booked, what needs your answer, and what is still to do.

What Today shows

• Warnings at the top, only when they apply: an email address to verify, booking requests and unread messages, overdue invoices, forms clients still need to sign before this week's visits, vaccinations expired or running out for pets booked in the next 7 days (with Notify owners), and Regular bookings that couldn't be made.
• Tiles: Bookings today, and for whoever handles money, Paid this month and Waiting to be paid. If clients ask and you approve, Requests shows how many are waiting.
• Waiting for you: booking requests to Accept or Decline, one-off and regular.
• Today's schedule: every visit and session in time order. On a phone, Next up sits above it.
• On the right: Daily logs (if you keep them), the Waitlist (when someone is waiting), unread Messages, and Waiting to be paid with Remind for each unpaid invoice.

Team members see the schedule and the Bookings today tile, but not the money tiles.

Today's schedule

The next visit is marked Next (or Now while it runs). Tap a row to see each pet's safety notes (lead, muzzle, warnings, medication), behaviour notes, the booking's notes, and buttons to call, message in Barclo or WhatsApp the owner. Key codes are not shown here; they are on the booking itself.

• Done marks a visit completed. On a session it marks every pet in it.
• Arrived appears on the first day of a stay. Done comes on the day they leave, because Done completes the whole stay.
• Staying with you today lists stays in their middle days.
• The Tomorrow row opens tomorrow's running order.

Walks with GPS, in the app

Walks are run from the Barclo app on the carer's phone. On Today or the booking, tap Start walk.

   Set up walk

   Add a destination if you like (it is optional), then tap Start walk.

   Collecting

   At each stop tap Collect, or Absent if a pet is not there. Then start the walk.

   On the walk

   The timer and distance run, with GPS active at the top. Log Poo and Wee, take a Photo (hold it for a video up to 60 seconds), add from your library with Image, or add a Note, tagged to the right pets.

   End walk

   Then Returning: tap Return as each pet is dropped home, and Complete walk.

   Report

   The visit report opens, ready to check and send. A walk with several households lists one report each.

The first time, the app explains why it needs your location, then asks for permission. Location is only collected while a walk is in progress, and keeps recording with the phone locked or in a pocket. Without location the walk still goes ahead, just with no route. You can review this in the app under Settings, Location access. If the app closes mid-walk, open it again and choose Continue walk.

Other visits (grooms, sits, day care) do not need a walk: tap Done, then Create report on the booking if you want to send one.

Visit reports

A report gathers the visit's photos and videos, notes, toilet logs and, for a walk, the distance and an optional route map (Include route map). Add a few words about how it went, then Send to [client] in the app, or Send to client on the web. Save as draft keeps it for later.

On the web, open the booking: completed bookings have + Report, and reports already made are listed under Visit Reports, where you can add or remove photos and videos, edit notes and the message, or delete the report. Each shows whether it has been sent and viewed.

The client gets an email and can open every report under Visit reports in their client portal. If the email could not be sent, Barclo says so, and the report is still in their portal.

Photos and videos

• Uploads can be up to 150 MB and carry on in the background while you keep working.
• Videos are made smaller after upload, so they show Video processing… for a short while before they play.
• Photos and videos on visit reports are kept for 28 days. From 1 November 2026, Barclo removes them once they are 28 days old; the rest of the report stays. Save any favourites before then.
